Stated Clerks of seven presbyteries and the
Synod Stated Clerk met on Wednesday, April 19, 2006, to review
presbytery records. Three additional presbyteries mailed in
minutes. The attached review guide was used. This report is
submitted to the Synod on April 29, 2006, for its receipt.

GUIDELINES
FOR REVIEWING PRESBYTERY RECORDS
_____ 1.
The minutes shall contain an index.
_____ 2.
The date, time, and place of the governing body meeting; the
name of the moderator presiding; and whether it is a “stated,”
adjourned,” or “special” governing body meeting.
_____ 3.
The call of the special governing body meeting and the names and
congregations of those requesting or concurring in the call for
a special governing body meeting (G-11.0201)
_____ 4.
The opening and closing of each meeting with prayer
(G-9.0301b).
_____ 5.
The roll of commissioners and absentees.
_____ 6.
The names of corresponding members along with the name of their
governing body, conference, or classes, and if, not a member of
the Presbyterian Church(U.S.A.), the name of their denomination
(G-11.0203).
_____ 7. A
statement that a quorum was present (G-11.0202).
_____ 8. A
record of the celebration of the Lord’s Supper (G-9.0301b).
_____9. The
report of the Committee on Representation (G-9.0105 and
G-11.0302) showing implementation of the principles of
participation and inclusiveness in order to assure fair
representation in decision making.
_____ 10.
The names of members of commissions, committees, and similar
groups, including those groups that exist only during a
presbytery meeting.
_____11.
Action taken on reports and recommendations and all reports with
clear indication of amendments.
_____ 12.
The decisions of the Permanent Judicial Commission and other
commissions should be reported and report should be made that
lawful injunctions have been obeyed.
_____13. The
review of the records of sessions, including any exceptions
(G-11.0103x).
_____14. The
report of the presbytery council, if any, and action on its
recommendations (G-11.0103v).
_____ 15.
The approved presbytery budget (G-11.0304).

The treasurer’s full annual review and a report of the results
of the audit (G-11.0307).

record of the consultations with the synod, other presbyteries,

Indication that the minutes have been read and approved by
the presbytery or by its authorized committee.

alphabetical roster of former members of the Permanent Judicial
Commission by classes who may be called upon when necessary to
constitute a quorum (D-5.0206).

report of property and liability insurance carried by the
presbytery. (G-11.0308).

Actions taken by councils/commissions held between
presbytery meetings.
